PAYMENTS AND CANCELLATIONS

 

Payment conditions

- At the time of confirming the booking, THE CLIENT shall pay 45% of the total trip price as a deposit and booking guarantee.

- The remaining amount must be paid in a maximum of two additional instalments

• The second payment, amounting to 30%, must be made up to 120 calendar days after the first payment.

• The remaining 25% must be paid at least 70 calendar days before the departure date.

- Failure to meet the established payment deadlines will entitle THE AGENCY to terminate the contract, applying where appropriate the cancellation conditions set out in this document.

- Flight tickets, once issued, are subject to the airline’s conditions and are non-refundable by the agency.

- For bookings made at shorter notice, different payment conditions apply:

• Bookings between ninety (90) and one hundred twenty (120) calendar days before departure: 80% of the total amount is required. The final payment must be made 30 calendar days before departure.

• Bookings made less than ninety (90) calendar days before departure: 100% of the total amount is required at the time of booking.

Cancellation and refund conditions

If the client cancels the trip, the following refund criteria will apply to amounts actually paid:

- Cancellations communicated more than ninety (90) calendar days before the departure date: 100% refund of amounts paid.

- Cancellations communicated between eighty-nine (89) and sixty-three (63) calendar days before the departure date: 50% refund of amounts paid.

- Cancellations communicated between eighty-nine (89) and sixty-three (63) calendar days before the departure date: 50% refund of amounts paid.

- For trips booked between ninety (90) and sixty-three (63) calendar days before departure, a 50% refund of amounts paid will be issued if cancellation is made at least 63 calendar days before departure. For trips booked less than sixty-two (62) calendar days before departure, no refund will be issued.

3. Specific provider conditions applied to “Experiences, Volunteering and Expeditions”

- The client acknowledges and accepts that certain contracted services—such as flights, accommodation, transport, activities, excursions, insurance, visas, or others—may be subject to cancellation and refund conditions specific to each provider, which may differ from the general conditions set out here.

- In such cases, the conditions set by the relevant providers shall take precedence, and THE AGENCY cannot assume responsibility for them.

- The client is advised to specifically request from THE AGENCY the conditions applicable to their trip before confirming the booking. THE AGENCY undertakes to provide all necessary information.

- Refunds to THE CLIENT will be processed within a maximum of 60 calendar days from the confirmation of the refund by the providers.

- If THE AGENCY, due to force majeure—such as border closures, natural disasters, war, global airline strikes, among others—decides not to operate the trip, it will offer the client a full refund, an alternative trip of equal or higher value, a date change, or a voucher. No additional compensation shall apply; THE AGENCY is only responsible for covering the services previously agreed.

- If THE CLIENT, for any reason, decides not to take the trip even though it can still be carried out—for example due to political tension, illness, or other reasons that do not involve official travel restrictions—this shall not be considered force majeure. In such cases, any claim must be handled through the contracted insurance, and the cancellation policy corresponding to the type of trip booked shall apply.
